Project start-up

A change like this can be daunting for any clinic. That's why our team is ready to support you every step of the way. As soon as the administrative steps have been completed, the designated project manager contacts the person in charge at the clinic. Together, they have an initial meeting during which the main steps ahead are presented. This meeting is usually much appreciated, as it makes everything more concrete. It's also reassuring to know that the project is being steered by someone who is committed to its success. Nothing is left to chance, the process having been tested more than once to ensure that it is as complete as possible, but also as straightforward as possible for the clinic. At the end of the meeting, everyone has an overall picture of the coming weeks, and everyone's role and tasks are established.

Behind the scenes of a transfer

Much of the work involved in a migration takes place behind the scenes, particularly when it comes to data transfer. A technician from our team contacts the clinic's former EMR provider to obtain an initial data extraction, then a whole process of analysis and import tests begins, culminating in the final transfer. At Info-Data, we have set up a rigorous transfer process called Migra, which ensures the quality of the data import.

In addition to preparing for the transfer, several other tasks need to be carried out, including the various connections. As EMRs work in concert with external services, we need to prepare the changes required for these integrations: electronic results, imaging solutions, RAMQ, DSQ, Hub and CRDS, to name but a few! We need to communicate with each of these entities to coordinate the change.

Then, there are all the custom configurations for the clinic. For example, we make sure that all the required electronic forms are available in Ofys. We also configure and activate the web fax and integrate everyone's electronic signatures, so that everything is up and running on your first day with Ofys.

Finally, our technical team communicates with the clinic's IT support team to plan the necessary software installations and configurations. We ensure that the configuration of the clinic's scanners, printers and label printers is compliant.

Training, practice and consolidation

Before you can start working with your new EMR, you will need to familiarize yourself with Ofys. Training in the form of video tutorials is available online, for both healthcare professionals and support staff. The videos are broken down into modules, making it easy for each to learn at their own pace. A test environment is also available, so you can practice while following the training. In this way, you can gradually familiarize yourself with your new working tool through hands-on practice.

One week before implantation

It's almost D-day, and you can feel the excitement in the air! The whole team is looking forward to meeting the clinic's users and putting faces to the names we've been seeing for the past few weeks. On the technical side, we're busy with the final preparations for transferring the clinic's data. Our transfer experts are used to handling sensitive data; we can rest assured that everything will go smoothly!

The week before the implantation, we organize remote meetings with your clinic's secretaries and healthcare professionals. This is the perfect time to ask questions and review the EMR, but above all, it's an opportunity to talk face-to-face about the implantation day. Many users have written down questions they had when they completed the online training, and the Info-Data team is happy to answer them. Getting out of your comfort zone can sometimes be stressful, so it's reassuring to be able to count on this meeting to express oneself.

Implantation day

It's the big day: the Clinique médicale Nouveau Départ officially moves to Ofys! The Info-Data team arrives on site, ready to start the day. After introductions, the team answers a few questions. The secretaries are already busy, focused on their usual morning tasks. All users seem to be in control, and good spirits prevail. The doctors arrive in turn, ready to work with their new software. The day's appointments roll by without a hitch, and we leave no question unanswered. It's a quiet day, which is a good sign in this case.

The three days of onsite support at Clinique médicale Nouveau Départ go by so smoothly and quickly that we almost forget it's time to go home. It's always so interesting to be onsite and see how each clinic works. It gives meaning to our work and makes everything we do on a daily basis even more concrete. It's also interesting to meet the users, as they can refer to us with any questions afterwards.

Adaptation and optimization

In the first few weeks, we receive a few calls with questions about the use of the EMR. Our support agents know how to handle each situation and respond quickly to users' questions. Our team continues to support the clinic managers in their day-to-day tasks, to ensure that the transition goes smoothly.
